3. Access to Product Catalogue Following your consultation, you’ll receive a copy of our product catalogue, which includes our full hire stock. The catalogue showcases: - Sound Equipment - Lighting Equipment - Rigging Equipment - Audio Visual Equipment.
4. Product Selection & Quote Once you’ve had a chance to review our catalogue, you’re welcome to submit your product selections or any further questions. If you require something which you cannot see in our catalogue, please inquire as it may be something which we can source from our partner companies. Our team will prepare a customised quotation based on your chosen items and services. We’ll confirm availability, delivery arrangements, and installation requirements at this stage.
5. Confirmation & Next Steps When you’re happy with your quote, we’ll finalise the order and provide you with a confirmation. We’ll stay in touch in the lead up to your event to ensure everything runs smoothly, from delivery to setup.
Deadline Information:
To ensure timely delivery, availability of stock, and smooth on-site coordination, we operate a three-tier ordering deadline system. This helps us plan efficiently and reward early booking with the most competitive pricing.
Tier 1 - Early Booking (28+ Days Before Hire Start Date) - Orders placed 28 days or more before the hire start date will receive our standard pricing. This is the most ideal time to book to ensure full product availability and the most cost-effective rates.
Tier 2 - Standard Booking (14-27 Days Before Hire Start Date) - Orders placed 14 to 27 days before the hire start date will incur a 10% service charge on the total hire cost. This covers the additional resources required to process and fulfil orders within a shorter time frame.
Tier 3 - Last-Minute Booking (7-13 Days Before Hire Start Date) - Orders placed 7 to 13 days before the hire start date will incur a 20% service charge on the total hire cost. While we do our best to accommodate all requests, product availability may be limited at this stage, and options could be restricted. Rigging Deadlines are 21 days prior to the hire start date. This allows for all certification to be in place for the event.
Please note: Orders placed less than 7 days before the hire start date are subject to availability and may not be guaranteed. We recommend booking as early as possible to ensure the items you need and avoid additional charges

Important Information
CABLE SERVICES: A location floorplan is required, with the network cable positions marked. The floorplan must be submitted 15 days prior to the official build-up date. Modifications to the cable's location after the official build-up start date will incur a reinstallation cost of €85.6.
Wi-Fi SERVICES: The Wi-Fi service provided during the event operates in the 5GHz spectrum only. It is strictly prohibited to install or operate personal Wi-Fi or wireless devices that emit signals at the 5 GHz and/or 6 GHz frequency bands. All exhibitors are required to comply with the event Wireless Policy.

If an exhibitor wishes to hire the surveillance service or a security company other than that of Fira de Barcelona, they must provide the “Private surveillance in stands” form, duly completed, to the Division of Safety and Mobility at least 48 hours in advance. This form contains the regulations and conditions for the provision of this service.
Based on Law 5/2014:
Only companies licensed by the Ministry of the Interior can legally provide security services here. They must provide us proof of this authorization.
All security guards need a valid TIP (Tarjeta de Identificación Profesional) card and must carry it while working.
Companies not licensed to operate in Spain cannot perform security functions. Doing so is a very serious offence, with heavy fines and legal consequences, for both the company and its workers.
In short, to comply with the law, security services must be contracted from a legally authorised company in Spain, whether through Servifira or another approved provider.

Unmanaged waste poses safety risks, including injury, increased threat of fire, blocks fire exits and hinders access for medical teams in emergencies. Our health and safety policy prohibits the accumulation of waste on stands, in storage areas, in gangways and in communal areas. Waste generated from the construction and dismantling of stands must be removed at the end of each day.
Each exhibitor will be required to contract a minimum m3 standard waste management via ServiFira. The requirement is determined by stand size. Each exhibitor/contractor will need to show proof that they have ordered the corresponding m3 waste management through ServiFira before they can obtain the Drawing Inspection Notice.
Order your waste removal services via the ServiFira Store by the deadline to guarantee the best rate. Failure to order the required waste removal services ahead of arriving onsite for build-up and breakdown will result in you not being permitted to commence the construction of your stand. You will not receive a Drawing Inspection Notice until waste removal services have been booked.
If a large amount of waste needs to be removed, a container must be ordered through ServiFira at an additional cost. The removal of large quantities of waste is not included in the m3 standard waste management and will be invoiced if not ordered. If waste is not managed appropriately or timely, further sanctions may apply.
All space only Exhibitors must submit a Waste Management Plan. Your Waste Management Plan must be submitted alongside your stand plan submission.
It is not permitted to use the bathroom sinks for the build-up and breakdown work. The designated industrial sinks must be used for these activities.
Fly tipping, or the dumping of waste illegally instead of using an authorised method, is prohibited. If you are found to have fly tipped your waste within the halls, the lorry ways, or the vicinity of the Venue, fines or sanctions will apply.
At the end of the breakdown period, the contracted surface must be completely clean, which includes removing the adhesive carpet tape and any other material. Any Exhibitors that still have waste will be charged the cost of cleaning and waste removal to restore the conditions of the contracted space.
